Communicating With Next Year Students/Families Using Synergy
How to use Synergy's Mass Email screen to communicate with next year's students & families.
Overview
March through mid July - for communication to next year families (including your incoming students/parents), you may choose to use Synergy's Mass Email screen to reach families who are not active in the current school year. All regular communication to current school year families, should continue through BlackBoard mass communication.
Note: Mass Email is bulk mailing tool which is not the same as emailing from your TTSD Gmail account. You will not see sent messages in your TTSD email or receive a copy of the email you sent.
Instructions
1. Focus to the next school year.
2. Open the Mass Email screen ("me" in quick launch or Synergy SIS → Student in the navigation tree). Select your (next year) grade level(s) and audience. If emailing parents, be sure to check the "Educational Rights" box!
3. Make a selection in the From Staff pulldown menu and whether you want to allow replies. Enter a subject and compose your message. Clicking the small down arrow (highlighted below) will open up a formatting toolbar. Avoid using the font menu as this can cause unexpected results on the recipients' end.
4. The Extra Filters tab lets you email a specific student group or class section. Click the Chooser button to make your selection(s).
5. The attachments tab lets you attache a PDF to the email. Make sure the attached file doesn't have any oddball characters in the file name (examples / : * etc....) as this may cause errors.
6. When ready to send, click the Send Email button at the top of the screen. After processing, you will see a count of emails sent.

Note the "noreply@ttsd.k12.or.us" return address. The "Allow Replies" box was not checked for this communication.
